How do I request a quote?

Requesting a quote from Xmun Projects is straightforward and completely free of charge. We have made the process as simple and accessible as possible, because we understand that taking the first step on a construction or renovation project can feel like a big commitment, and we want to remove any barriers to getting the information you need. Whether you prefer to call, send a message, or fill out a form online, we are ready to hear about your project and provide you with a clear, detailed quotation. Here is a complete guide to how our quoting process works, from first contact through to the written estimate you will receive.

Ways to Get in Touch

We offer several convenient ways to reach us, so you can choose whichever method suits you best.

Phone: You can call us directly on +356 7906 4535. This is often the quickest way to get a conversation started. Our team can discuss your project briefly over the phone, answer initial questions, and schedule a site visit at a time that works for you. We are available during standard working hours, and if we cannot answer immediately, we will return your call as soon as possible.

WhatsApp: Many of our clients prefer to communicate via WhatsApp, and we are fully set up to handle enquiries through this channel. You can send us a text message, voice note, photos, or even short videos of the area or property you need work on. WhatsApp is particularly useful for sharing visual information early in the process, which helps us understand the scope of your project before we even visit the site. Send a message to +356 7906 4535.

Email: For more detailed enquiries, or if you prefer to put everything in writing from the start, you can email us at info@xmunprojects.com. Feel free to include a description of the work you need, any photos or plans you have, your preferred timeline, and your contact details. We aim to respond to all emails within one business day.

Contact Form: If you find us through our website, you can use the online contact form to submit your enquiry. Simply fill in your details and a brief description of your project, and we will get back to you promptly to discuss the next steps.

Regardless of which method you use to make initial contact, the process that follows is the same. There is no obligation at any stage, and we will never pressure you into proceeding. Our goal at this point is simply to understand what you need and provide you with the information to make an informed decision.

The Free Site Visit

For the vast majority of projects, the next step after your initial enquiry is a free site visit. This is a core part of how we work, and it is something we strongly recommend for any job beyond the very simplest of tasks. Construction and finishing work is highly dependent on the specific conditions of the property, the site, and the existing structures, and an accurate quotation can only be produced after a proper in-person assessment.

During the site visit, a member of our team will come to your property at a mutually agreed time. There is no charge for this visit and no obligation to proceed. The purpose is to see the space firsthand, understand exactly what you want to achieve, and assess the practical requirements of the job.

Here is what typically happens during a site visit:

Visual Inspection: We thoroughly examine the areas where work is needed. For a renovation, this might mean looking at the condition of walls, floors, ceilings, roofing, and any existing installations. For new finishing work, it involves understanding the current state of the shell or structure and what needs to be done to bring it to a completed standard.

Measurements: We take accurate measurements of the spaces involved. This is essential for calculating material quantities, labour requirements, and costs. Whether we are quoting for tiling a bathroom, plastering an entire apartment, or waterproofing a terraced roof, precise measurements ensure that the quotation reflects the actual scope of work.

Discussion of Requirements: We talk with you about what you want. This is your opportunity to explain your vision, your priorities, your preferences for materials and finishes, and any constraints you are working within, whether those are budgetary, time-related, or practical. We listen carefully, ask questions where needed, and offer suggestions based on our experience. If there are aspects of the project you have not yet considered, such as the need for waterproofing before tiling, or the importance of proper ventilation in a bathroom renovation, we will raise them during this conversation.

Assessment of Access and Logistics: Particularly relevant in Malta and Gozo, where many properties are in narrow streets, upper floors of terraced buildings, or locations with limited vehicle access, we assess how materials and equipment will be delivered and how the work will be carried out safely and efficiently. This includes considering whether scaffolding will be needed, how waste will be removed, and whether any temporary protections are required for neighbouring properties or public areas.

Identification of Potential Issues: Experienced eyes can spot potential problems that might not be obvious to a property owner. Rising damp, structural cracks, inadequate drainage, deteriorating waterproofing, or hidden damage behind plaster are all things we look for during a site visit. Identifying these issues early means they can be addressed as part of the project plan, avoiding surprises and additional costs once work is underway.

The Detailed Written Quotation

Following the site visit, we prepare a detailed written quotation for your project. This is not a vague estimate or a rough figure scribbled on the back of a card. It is a properly structured document that breaks down the work into clear sections, specifies what is included, and provides transparent pricing.

Our quotations typically include the following:

Scope of Work: A clear description of all the work to be carried out, broken down by trade or area. For example, a bathroom renovation quotation might list demolition and removal, waterproofing, plumbing adjustments, tiling, gypsum ceiling work, electrical work, painting, and installation of sanitary ware, each as a separate line item.

Materials: Where applicable, we specify the materials to be used, or we note where the client will be supplying their own materials. If you have already selected tiles, paint colours, or fixtures, these will be referenced. If you need guidance on material selection, we can advise on options that suit your budget and the specific requirements of the project.

Timeline: We provide an estimated timeline for the project, including start date and expected completion. We are realistic about timelines and factor in the practical realities of working in Malta and Gozo, including potential weather delays during the wetter months and material lead times.

Cost: The total cost is clearly stated, with a breakdown that allows you to see exactly where your money is going. We do not include hidden costs, surprise extras, or vague allowances. The price we quote is the price you pay, provided the scope of work remains as agreed. If any changes arise during the project, whether requested by you or necessitated by unforeseen conditions, we discuss them with you and agree on any cost adjustments before proceeding.

No Hidden Costs

We want to emphasise this point because it is one of the most common concerns clients have when hiring a contractor. Hidden costs erode trust and create conflict. At Xmun Projects, our policy is complete transparency. The quotation you receive covers everything we have discussed and agreed upon. If additional work is identified during the project that was not part of the original scope, we will inform you immediately, explain what is needed and why, provide a cost for the additional work, and only proceed once you have given your approval.

This approach protects you as the client and ensures there are no unpleasant surprises when the final invoice arrives. It is a fundamental part of how we build and maintain trust with every client we work with.

What Happens After You Accept the Quote

Once you are happy with the quotation and decide to proceed, we agree on a start date and begin planning the project in detail. This includes ordering materials, scheduling our team, coordinating any specialist trades, and preparing a work programme. Throughout the project, you will have a single point of contact who keeps you informed of progress and is available to answer any questions or address any concerns.

To request your free, no-obligation quote, call us on +356 7906 4535, message us on WhatsApp, email info@xmunprojects.com, or use the contact form on our website. We look forward to hearing about your project.
